The system will not be able to retrieve the interviewer’s calendar and show the availability due to one of the following reasons:

1. The interviewer is not yet a team member on Rakuna

Case 1: In this case, the Admin on Rakuna can invite the interviewer to join the system first. To do this:

  • Go to Settings
  • Go to Team Directory
  • Click “Invite New Members” and fill out the required information

Case 2: The Admin can choose to NOT invite the interviewer to join the system as the interviewer will still be able to provide their availability to the Admin later on. However, without joining the system, the interviewer will not be able to access the interview event on Rakuna or log interview feedback.

In this case, to retrieve the interviewer's calendar:

  • Input the new interviewer's email into the "Guest" field
  • Click the red exclamation (“!”) icon next to the email
  • Click “Submit” to invite the interviewer to share calendar availability.
  • The interviewer to provide immediate availability via the “Provide Availability” page.
  • Once the interviewer completes providing his/her availability, the Admin can click on "Save as draft" in the event to see the interviewer's updated calendar.

2. The interviewer is already a team member on Rakuna but has not enabled calendar integration on the system

In this case:

  • Click the red exclamation (“!”) icon next to the email
  • Click “Submit” to invite the interviewer to share calendar availability. There are two options to share availability:

OR (b) Provide immediate availability via the “Provide Availability” page.

It is highly recommended that the interviewer integrates his/her calendar to share availability for future interviews.

While waiting for the interviewer’s availability, you can save the interview event as a draft by clicking “Save as Draft" to not lose any information.
