The interviewer is not yet a team member in your organization: the Admin on Rakuna can invite the interviewer to join the system first. Please follow the instructions in this article.

The interviewer is a team member on Rakuna: you can view the interviewer’s availability by one of the two options:

Tip: It is highly recommended that the interviewer choose the first option, which is the interviewer integrates their calendar to share availability for future interviews.

Option 1: Integrated interviewer’s calendar on the system

Personal calendar integration allows the Recruiting Coordinator to view the Interviewers’ calendar availability while creating an interview event.

To allow the Recruiting Coordinator to do so, the Interviewer will have to turn on the calendar integration through his/her personal account with Rakuna.

✅ To enable integration, please follow these steps:

  1. Open “Rakuna Dashboard

  2. Hover over the Settings icon on the left sidebar

  3. Select the “App integrations” option in the pop-up menu

  4. Navigate to the “Personal” section at the bottom of the redirected page.

    1. In the Personal section, you will see options to enable integration with various third-party software.

  5. Click “Enable” to allow integration with your Google and/or Outlook calendars and follow the instructions given by Google and Outlook.

Note: You can enable BOTH types of calendars at the same time.


Option 2: Shared interviewer’s immediate availability via the “Provide Availability” page

To view an interviewer's availability when creating an interview:

  1. Input the interviewer’s email in the “Interviewer” field (can include multiple interviewers) when creating an interview event

  2. Click the tooltip icon next to the interviewer’s email to open the dialog “REQUEST TO SHARE CALENDAR AVAILABILITY”

  3. Select the date, time, and timezone you want to request availability

  4. Click “Send” to invite the interviewer to share their calendar availability

  5. Wait for the interviewer's calendar to be shared.

    Tip: You can Save it as a draft interview while waiting for the calendar availability

  6. When the interviewer's availability is shared successfully, the tooltip icon will be changed to the calendar icon

  7. You can view the interviewer's availability in the calendar on the right of the screen

✅ For 1-1 Interview Scheduling

To view an interviewer's availability when creating an interview:

  1. Input the interviewer’s email in the “Interviewer” field (can include multiple interviewers) when creating an interview event

  2. Click the calendar icon (with a question mark) next to the interviewer’s email to open the dialog “REQUEST TO SHARE CALENDAR AVAILABILITY”

  3. Click “Send” to invite the interviewer to share their calendar availability

  4. Wait for the interviewer's calendar to be shared.

    Tip: You can Save it as a draft interview while waiting for the calendar availability

  5. When the schedule availability is shared successfully, the calendar icon (with a question mark) will be changed to the calendar icon (with a checkmark)

  6. You can view the interviewer's availability in the Interview Time section
